Covid Protocol

We are thrilled to be having a hybrid in person/virtual conference and cannot wait to see you! The information contained below pertains to attending Vulnerably You in person on 3/25/2021. If you will be attending in person, read the following in its entirety. 

To ensure the health and safety of all attendees, speakers, and organizers, we have implemented the following COVID protocols for Vulnerably You and ask your cooperation and respect to these rules while attending the conference on March 24th and 25th. 

When you arrive at the Hilton Garden Inn, you will come to one of two check-in tables. They will be clearly marked to eliminate confusion. You must wear a mask when you enter the hotel and at all times during the day, unless you are a speaker doing your session or eating. Masks will be provided in your SWAG Bags. Check in will be between 8-9 AM. Plan your arrival time accordingly as you may need to wait your turn at check-in.

Please maintain your distance from others at all times. There will be markings on the floor in lines for food, beverages, photos, and registration to help with social distancing. 

At check-in, your temperature will be taken and you will be asked the following questions:

If you answer yes to any of these questions or have a temperature above 100 degrees, we will ask that you go home and attend the conference virtually. You will have access to all sessions live during the event, and to all sessions after the event. You will receive your SWAG Bag and any associated materials for in person attendees. No refunds will be given. We encourage you to check your temperature prior to leaving home on the morning of the conference and contact us to make arrangements to deliver your materials should you have a temperature that morning. 

We ask that all attendees, speakers, and organizers wash their hands frequently and use the hand sanitizer that will be provided at each table and in each room. Cover your coughs and sneezes and wash hands immediately after. We discourage hand shaking, hugs, and other physical contact. “Do not touch me” stickers will be available for those who would like the extra non-verbal cue. Commonly touched surfaces will be disinfected and cleaned many times throughout the day. 

Downloading the Whova app is required to attend the conference. If you have not yet downloaded Whova, do so now. Your Whova app will be scanned when you enter breakout rooms. We are doing this in the event that we will need to contract trace. You must stay in the breakout session you signed up for. Due to social distancing guidelines, there is a max room limit. If you are unable to attend a breakout session due to it being full, you will have access to it after the event. Room hopping will not be tolerated.

There will be times when many people gather in one spot (at check-in, in the restrooms, lunch and beverage stations), we ask that you be mindful, keep your distance, and wait your turn. 

There are 15 minute breaks between each session. Use this time to check in with resource tables, use the restroom, get refreshments, or go outside for a mask break.

Seating in all rooms will be distanced. Please do not sit in close proximity to anyone or move chairs or tables closer together.

If you get sick during or after the conference, or receive a positive COVID test within 14 days of the conference, please email immediately so we can properly communicate this risk to other attendees. Privacy will be respected if a positive case occurs.

To ensure you are able to attend on March 25th, avoid high risk activities or situations before the conference. Minimize your risk by staying at home, wearing a mask, and distancing yourself from others who are not part of your household.
